Summary:

The Development Coordinator is a bright, enthusiastic, energetic, detail-oriented person with good data, Excel, word processing, and problem solving skills who enjoys supporting others and helping those around them succeed.  They have good people skills and demeanor and are comfortable interacting with individuals and groups in a professional manner.  Multi-tasking and attention to detail are imperative for this team member who will work with the development team to ensure that data entry and administrative tasks are completed in a timely and efficient manner. This person will enjoy working on a team and helping to implement plans of action for various initiatives. This role will require some direct contact with donors and directly supports the Associate Director of Development and Manager of Special Events. The Development Coordinator will implement, manage, and control processes, procedures, controls, and systems for the Development Department, to include the donor management database, various finance and payment systems, and event management software.  He or she must also possess strong data management and data analysis skills.  Further, this person will be a primary contact with donors, sponsors, and fundraising teams as regards their involvement and participation with Nashville CARES Events.  They will backup both the Associate Director of Development and Manager of Special Events when they are unavailable or out of the office.


 

RESPONSIBILITES:

  • Implement, manage, and control donor, payment, and event management systems, processes, and procedures. Implement checks and balances and continuous process improvement throughout the Development Department
  • Serve as a primary point of contact (along with Associate Director of Development) between Nashville CARES and Development Vendors, Sponsors, and Donors as regards invoicing and payment
  • Provide Reporting and analysis of donor and event data to help identify opportunities for improved outreach and fundraising within targeted segments of and among our entire constituent base and target market.
  • Responsible for data entry in donor management databases (Bloomerang and Classy), which includes: constituent information, gift processing, employee giving, batch data upload (bulk/batch data, actions, correspondence, donor/volunteer activity participation, etc.) with a focus on insuring information is comprehensive and accurate
  • Database Maintenance: Ensures resolution of Duplicates, Donor information changes, Addresses from returned mail or other communications and reconciles gift records with Finance Department
  • Build and pull reports based on donor data as directed by Associate Director of Development or other team members (gift, pledge, outreach, donor, annual campaign, volunteer, events, etc.)
  • Process gifts, send gift receipts & acknowledgements
  • Process sponsorship, partnership, and vendor contracts, invoices, payments, and receipts
  • Assist Manager of Special Events to coordinate and build teams for annual AIDS Walk fundraiser and Dining Out for Life, and help provide logistical and administrative support for events including sending invitations, trackingRSVPs, coordinating with vendors, timely gift entry and providingonsite, day-of coordination
    • Develop and Administer the website software for Dining Out for Life and the AIDS Walk
  • Work with Development Department vendors to order supplies for events and fundraisers
  • Provide ongoing assistance to the development team in the fundraising needs of the organization
  • Other duties as assigned by the Chief Development Officer

 

QUALIFICATIONS:

  • Bachelor degree or minimum of 4 years of experience in an office setting required, experience in non-profit preferred
  • Bloomerang (database system) (or other Donor Database Management system) experience preferred
  • Strong computer and financial accounting literacy
  • Proficiency in Microsoft Word and Excel a must
  • Strong data reporting and analysis skills
  • You enjoy completing administrative tasks and helping others to succeed in a team setting
  • You can multi-task and prioritize given assignments each day
  • You can follow directions and work with a team
  • Familiarity with office equipment and the desire to master new software will be essential
  • You enjoy working with people and calling donors, sponsors, or volunteers to coordinate the details of their involvement with our agency

  • Valid driver’s license, clean Background/DMV record, and current automobile liability insurance
