The mission of AIDS Services of Austin (ASA) is to enhance the health and well-being of the community and people affected by HIV and AIDS. For more than 30 years, ASA has provided a continuum of services to the greater Central Texas area.

The Director of Finance and Administration will be a strategic thought partner, and report to the Chief Executive Officer (CEO). The successful candidate will be a hands on and participative manager and will lead and develop an internal team of the Systems and Facilities Manager, Accounting Manager, Accountant, and Data and Facilities Specialist to support the following areas: finance, business planning and budgeting, administration, and IT.

The Director of Finance and Administration will play a critical role in partnering with the senior leadership team in strategic decision making and operations as AIDS Services of Austin continues to enhance its quality programming and build capacity. This is a tremendous opportunity for a finance and operations leader to maximize and strengthen the internal capacity of a well-respected, high-impact organization.

The DOFA supervises all accounting and financial activities of the organization as well as oversees agency facilities, and technology/network systems. The position serves as an integral part of the agency’s executive team, leadership team, and grants team, working cooperatively to ensure the accomplishment of the agency’s strategic goals and serves as a primary advisor to the ASA Board and Finance Committee. This position is a full-time, exempt position reporting to the CEO.

Essential Tasks

Financial Management

  • Analyze and present financial reports in an accurate and timely manner; clearly communicate monthly and annual financial statements; collate financial reporting materials for all donor segments, and oversee all financial, project/program and grants accounting.
  • Coordinate and lead the annual audit process and 990 process, liaise with external auditors and the finance committee of the board of directors; assess any changes necessary.
  • Oversee and lead annual budgeting and planning process in conjunction with the CEO; administer and review all financial plans and budgets; monitor progress and changes and keep senior leadership team abreast of the organization’s financial
  • Manage organizational cash flow and forecasting.
  • Implement a robust contracts management and financial management/ reporting system; ensure that the contract billing and collection schedule is adhered to and that financial data and cash flow are steady and support operational
  • Update and implement all necessary business policies and accounting practices; improve the finance department’s overall policy and procedure
  • Effectively communicate and present the critical financial matters to the board of directors.
  • Lead staff in ensuring that agency insurance needs are met, and serve as liaison to insurance broker for all liability insurance (D&O, general, workers’ compensation, vehicle, crime, etc.).

Technology and Administration

  • Work closely and transparently with all external partners including third-party vendors and
  • Oversee administrative functions as well as facilities to ensure efficient and consistent operations as the organization scales.

Supervision

  • Hire, train, supervise, and evaluate the finance, facilities, data, and technology staff.
  • Directly supervise Accounting Manager and Systems & Facilities Manager, developing measurable goals and objectives to account for satisfactory performance.
  • Ensure that agency technology and network are adequate to meet the growing needs of the agency and that staff has adequate training to use agency technology.
  • Manage staff who oversee data compilation, integrity, and reporting in to the state centralized and other funder required databases. Ensure that all data sources are reconciled, grants are billed properly, and security measures are in place.
  • Ensure that the agency facilities are safe and secure. Oversee staff who manage relationships with rental facilities and storage facilities.

Education and Experience

  • Bachelor’s degree in accounting, business, or highly related field required; master degree in related field preferred.
  • Certified Public Accountant a plus but not required.
  • Five years in financial management experience required with at least three years of nonprofit finance management experience.
  • At least three years of experience managing a finance department required
  • Proven staff supervisory experience required
  • Excellent accounting skills and comprehensive knowledge of acceptable accounting procedures required
  • Experience with Abila/MIP financial software strongly preferred
  • Knowledge of technology and technology administration required
  • Experience in managing multiple funding sources, including public funds, with a track record in grants management.

  • Knowledge of the broad principles and practices of accounting, human resources, information technology, and administration
  • Skill in operating office equipment, such as a personal computer, calculator, copy machine, facsimile machine, and telephone system
  • Strong skills in Microsoft Office programs, including but not limited to Word, Excel, PowerPoint, and Access
  • Ability to perform routine walking, standing, bending, lifting, and stooping during the course of day
