Position Summary:

The Patient Administrator serves as the first line of contact between external customers and PPLM. Individuals in this role handle incoming patient phone calls, schedule appointments and check patients in and out of appointments.

Patient Administrators provide excellent customer service and work closely with staff members in the health center to ensure quality healthcare delivery. Patient Administrators communicate information efficiently and effectively with a friendly and accommodating demeanor, handle detailed work with precision and accuracy, and use good judgment in determining how to handle difficult phone calls or issues during check-in and check-out.

Essential Responsibilities:

  • Provides front desk coverage (check-in and check-out) and responds to telephone calls to schedule appointments for health care services and make necessary referrals.
  • Enters visit information in electronic practice management system. Pre-verifies insurance eligibility and benefits and accurately collects payments.
  • Communicates with patients through the patient portals and assists patients navigating online services.
  • Sets appropriate patient expectations and prepares health center staff for appointments as needed.

Other Responsibilities:

  • Processes refill requests and handles sales of contraceptives.
  • Process requests to release PPLM medical records.
  • Maintains presentation in waiting area and is accessible for patient or escort questions

Qualifications:

Required:

  • High School Diploma or equivalent.
  • 1 to 3 years of experience in a customer service or call center environmen
  • Computer experience (Especially Microsoft Office Suite)
  • Strong communication skills (verbal and written) and an ability to engage with a diverse patient population.
  • Must be available to work daytime, evenings, and Saturdays.
  • Ability to work efficiently in a busy health care environment and sit for extended periods of time.
  • Commitment to PPLM’s mission and values.

Preferred:

  • College experience.
  • Cash handling experience.
  • Previous experience working in a health care setting and with electronic health records.
  • Bilingual (English/Spanish)
