Overview: Serves as a member of the Executive Team and is responsible for audit, financial, human resources, and operations management of a growing non-profit organization.

Reports to: Executive Director

Supervises: Senior Accountant, Staff Accountant, Accounting Associate I, Human Resources Manager, Facilities Manager.

Qualifications:

  1. Bachelor’s degree in accounting, business, economics or finance and 4+ years of finance and operations experience in the non-profit sector.
  2. Demonstrated experience in using accounting software.
  3. Experience budgeting and vouchering for New York State and/or Federal grants.
  4. Experience with human resources and operations management.
  5. Able to prioritize multiple tasks, manage time effectively, and work independently in a fast-paced environment.
  6. Clean driver’s license and access to automobile
  7. Proficient in MS Word/Excel, E-mail, Outlook.
  8. Personal qualities of integrity, credibility, and dedication to the mission of the Albany Damien Center

Preferred Qualifications

  1. Experience in using FundEZ accounting software.
  2. Experience with HRI and AIDS Institute grant funding vouchering process and procedures.
  3. Experience with 340B RW programs.

Specific Responsibilities include but are not limited to:

Financial:

  • Maintain accounting system.
  • Oversee/execute all accounting functions, including accounts payable, accounts receivable, payroll, bank reconciliations, sales tax, petty cash, etc.
  • Prepare annual agency budget and monitor annual agency expenditures as relates to budget.
  • Prepare monthly financial reports: budget v. actual, cash flow projection, balance sheet, etc
  • Maintain financial controls as per agency fiscal policies/procedures.
  • Manage and maximize cash flow to ensure sufficient working capital.
  • Coordinate organization’s financial and budget activities to fund operations, maximize investments, and increase efficiency.
  • Monitor expense reporting system and accurate submission of reports.
  • Ensure compliance and provide financial reports to ensure receipt of grant funds.
  • Maintain relationships with all banking officers and vendors.
  • Coordinate and lead the annual audit process.
  • Liaise with external auditors and the finance committee of the Board of Directors.

Human Resources and Operations:

  • Supervise the administration of compensation, benefits and performance management systems, and safety program.
  • Supervise the maintainance of employee files and provide for hiring-related and ongoing employee paperwork.
  • Oversee facilities infrastructure to ensure efficient and consistent operations, working with vendors, contractors, and staff as needed.
  • Coordinate all necessary contracting for facilities operations, including phone, IT, computers, etc.
  • Hire, train, supervise, and evaluate the Senior Accountant, Staff Accountant, Accounting Associate I, Human Resources Manager, and Facilities Manager.

Other

  • Fully engage in self-care to promote physical, emotional, and spiritual well-being.
  • Fully support and grow the Damien Center Pharmacy Program and work to support members in reducing barriers to help each person achieve durable HIV Viral Load Suppression. 
  • Support and participate in a culture of philanthropy by recognizing that fundraising efforts—including donor relations and organizational agency communication— include all staff and is essential to carry out the work and mission of the organization.  Assist in securing member mission stories and participating in fundraising efforts as requested by the Executive Director.
  • Attend full staff meetings & 24 hours of annual training.
  • Other duties and special projects as assigned
