The Grants & Contracts Manager is an important part of the Black AIDS Institute (BAI) Finance Department being responsible for overseeing all management of all Black AIDS Institute grants and contracts.

Reporting Relationship: Director of Finance

Supervisory Relationship: None

Salary Range: $80,000 to $83,000 annually, depending upon experience and qualifications. This is an exempt, salaried position.

Organization-wide Duties and Responsibilities:

Position-specific Duties and Responsibilities:

  • Managing all Black AIDS Institute’s grants & contracts including creating a filing system for each grant and contract received for full life cycle of grant from proposal phase to grant completion phase.
  • Keeping track of all programmatic, financial, and administrative reporting requirements and due dates related to all grants & contracts and making sure all programmatic and financial reports are submitted on time.
  • Creating and completing all monthly grant billing submissions and all grant financial reports.
  • Responsible for all grants and contracts procurement and compliance.
  • Responsible for navigating and managing multiple grant online portals involving retrieving and disseminating grant information and uploading documents for submission.
  • Maintaining FTE spreadsheets on which staff positions are funded by specific grants and contracts and providing gap analyses to CEO and Development.
  • Ensuring programs teams complete all programmatic grant reports required by each funder, gathering reports, and submitting reports to funder.
  • Assisting fund development efforts in the preparation of grant budgets and budget narratives if needed.
  • Working with programs teams to complete and submit any grant budget modifications after grant has been received.
  • Responsible for creating all Black AIDS Institute contracts, subcontracts, agreements, amendments and managing the execution of such documents through organizational DocuSign account.
  • Participating in all grant-related meetings with internal staff and funders.
  • Assisting the Director of Finance in organizational audits where submission of grants and contracts information is required.
  • Other duties as assigned.

Education and Professional Requirements:

  • Bachelor’s degree plus three years of relevant employment involving grant acquisition and compliance or an equivalent combination of education and experience.
  • Advanced Skills in Microsoft Excel.
  • Experience with federal grant procurement requirements.
  • Excellent oral written and presentation skills.
  • Ability to prioritize personal work schedule and priorities using independent judgment.
  • Ability to move to the next stage of tasks and projects in the absence of managerial supervision.
  • Ability to manage multiple deadlines in a fast-paced environment with multiple priorities.
  • Outstanding organization, project, and time management skills.
  • Demonstrated resourcefulness and flexibility.
  • Willingness to work occasional nights and weekends to meet grant reporting deadlines if needed.

Physical, Sensory, and other Requirements:

  • Ability to read, write and converse in English.
  • Ability to communicate with staff, stakeholders, and vendors.
  • Ability to remain calm and composed under stress.
  • Bending, lifting 20-pound boxes and packages, grasping, fine hand/eye coordination, pushing/pulling, and/or prolonged sitting/standing.
  • Ability to respond to telephones and other auditory stimulation.
  • Ability to organize and prioritize assignments.
  • Quantitative/mathematical ability (addition, subtraction, multiplication, division, standard measurements).
  • Ability to evaluate/interpret information and make independent judgments and decisions.
  • Adequate internet access to facilitate working from home as necessary

COVID-19 Vaccination Requirement

The Black AIDS Institute requires all individuals working for BAI to be fully vaccinated against COVID-19. Candidates must be fully vaccinated against COVID-19 and present acceptable proof of vaccination by the date of hire as a condition of employment.
